EDITORIAL
POLICIES AND PROCEDURES FOR THE JOURNAL OF INSTITUTIONAL RESEARCH (SOUTH EAST
ASIA) - JIRSEA
(It is the SEAAIR
Interim Management Committee’s intention to electronically publish papers that
have been successfully subject to double blind referees, following the
conference. The vehicle for these
publications will be a new eJournal, the Journal of Institutional Research
(South East Asia) – JIRSEA. Interested
authors should submit three hard copies and an electronic copy of the paper to
Dr. Raj Sharma in accordance with the attached guidelines, preferably by early
October 2001.)
JIRSEA:
SUBMISSION OF MANUSCRIPTS
Authors and
contributors to the Journal should prepare manuscripts in accordance with these
guidelines. These guidelines are
designed to standardise the process of preparing the journal for publication.
Failure to follow them may result in papers being delayed, and/or rejected.
JIRSEA
considers all manuscripts on the condition that
1. They are original
2. The authors hold the property or copyright of the manuscript
3. They have not been submitted for publication elsewhere
4
They have not been published already
5
They are not under consideration for
publication elsewhere, nor in press elsewhere and
6. They use non-discriminatory
language.
If the
manuscript is accepted for publication, copyright is transferred to the
Journal.
JIRSEA: PUBLISHING
POLICY
The Journal for
Institutional Research in South East Asia (JIRSEA) is expected to be published
electronically on a biannual basis.
Original research papers, which have not been submitted for publication
elsewhere, dealing with all aspects of institutional research, planning and
related issues in tertiary education will be considered.
All papers are
refereed by two independent persons and evaluated according to

3. Appropriateness for the Journal
4. Clarity of presentation.
JIRSEA:
SUBMISSION OF TYPESCRIPTS
Guidelines
1. Three printed copies of the manuscript should be submitted to the
Editors.
2. Manuscripts should be printed on single sided A4 or 8 x 11 inch Bond
quality paper, doubled-spaced throughout. The orientation of the pages is to be
Portrait only.
3. Manuscripts should have a 2.5 cm (1 inch) of margin at each side of the
page.
4. Text should be Times Roman 11 pt, apart from headings and tables.
Headings should be Times Roman 12 pt. Sub headings Times Roman 11 pt.
5. Text should be left aligned (not justified).
6. Manuscripts should be no longer than 5000 words, excluding abstract,
biographical details, graphs, tables and references.
7. The printed copies of the manuscript should incorporate every table and
figure. However the soft copy (diskette) should separate them from the text of
the article. (See notes on Tables and Figures).
8. Tables and figures should be in word processing format, void of colours
or fancy formats.
9. The manuscript should be structured in the following order, with each
section commencing on a new page:
Contact details
Contact details
should include telephone, facsimile, email and postal addresses.
Bibliographical details
Biographical
details should not exceed 50 words per author; it should include the author's
institutional position and affiliation.
Abstract
Abstracts are
required for all papers, approximately 150 words.
Text of the article
In the text of
the article, page numbering must start from the beginning of the text, at the
bottom centre of each page. From this point on, no other details should be
included, eg name of the authors, title of the paper, etc.
Acknowledgments
Any acknowledgments
authors may wish to make should be included at the end of the manuscript.
Endnotes
Endnotes should
be kept to minimum. Please note that footnotes are strongly discouraged.
References

JIRSEA:
Submission of Diskettes
1. Manuscripts must also be
submitted on an IBM PC-compatible diskette, together with three printed copies.
2. The preferred word processing
format is Microsoft Word. Tables and
figures must be in similar format, and should be saved as separate files,
ordered sequentially.
3. Only 3 1/2" (1.44 mb)
sized diskettes can be accepted, and these should be free of macros, and must
have been scanned for viruses prior to dispatch.
4. Diskettes should be labelled
and contain the following information:

Title of paper
·
Name/s of author/s
·
Name of files and extensions
·
Number of printed pages for each file.
5. The name of the word
processing file is to be the author's initials or abbreviation, preferably up to
8 characters in length. Do not use filenames such as JIRSEA.DOC or PAPER.DOC.
6. Ensure that the files are not
saved as read-only.
JIRSEA:
CITATIONS
1. When repeating citations,
expressions like Ibid should not be used. Please repeat the original citation
verbatim.
2. Multiple citations should be
ordered by date rather than alphabetically by author's name.
3. When a paper has three or
more authors “et al.” may be used in citations, however all names must be given
in the Reference section.
4. Page references should be
given in full.
Some examples:
According to
Davidson (1992) this problem was not mentioned earlier. Other sociologists
(Baxter 1991, Connell 1997) do not agree. Davidson et al. (1989) surveyed
students from all campuses Smith (1995: 185-186).
JIRSEA:
REFERENCES
The preferred
referencing style is: author, date, title, city, publisher. All articles must
be accompanied by a full list of references at the end.
Multi-authored
books and papers should be completely spelled out in the references. Note that
“et al.” should not be used in the References section. The "&"
should not be used unless it is part of a name.
Page references
for any chapter being cited should include the full page length, for example
137-154, rather than 137-54.
A single editor
should be indicated by (ed.) and multiple editors by (eds).
Do not use
underline and bold formatting in the references.
Italics are
only used for the name of a book or the name of a journal.

JIRSEA:
NOTES ON LANGUAGE
1. Manuscripts are to be
submitted in English.
2. References in languages other
than English should be cited in the original language.
3. Quotations in languages other
than English should be retained only when the original language itself is of
relevance. Translation should follow immediately.
4. Ensure that you use
non-discriminatory language.

NOTES ON STYLE
Numbering Style
Spell out
numbers between one and nine, and at the beginning of sentences
Numbers 10 and
above should be referred to as figures
Numbers used
with a unit of measure, time, distance, degrees, ages, money and eights should
be cited as figures
Numbers beyond
five digits should be cited with a space rather than a comma, eg $13 579
Use the
following conventions in manuscripts
n rather than N
% rather than
percent or per cent.
Punctuation Style
Include full
stops in abbreviations. Include full
stops after initials in a name.
Include two
spaces after full stops.
In cases of
incomplete or short sentences, use semi-colons to separate list lines. Insert a
full stop
at the end of
the list.
In cases of
complete sentences, use full stop to end each sentence.
Quotes precede
punctuation.
Capitalisation
The use of
upper case should be restricted. Capitals should only be used in the first word
in
paper titles,
including sub headings. Titles of articles from journals and books in
references and other places are not to be in upper case.
Quotation Marks
Use single
quotes for direct quotes, titles of articles, technical and colloquial terms.
Use double
quotes for quotes within a quotation
Acronyms
All acronyms
should be spelled out the first time they are used in the text. Thereafter the
acronym can be used.
JIRSEA:
NOTES ON TABLES AND FIGURES
In the soft
copy, all tables and figures must be separate, not embedded in the text.
Each table
and/or figure must explain its purpose, have a descriptive title and be
preceded by a table or figure number, eg, Table 4: 1997 International Student
Enrolments by Institution.
The source of
the table/figure should appear at the base of the table.
Headings should
be Times Roman 12 pt. and Sub Headings Times Roman 11 pt. Text in tables and
figures should also be Times Roman not exceeding 11 pt.
In the soft
copy, the place where a table or figure is to be inserted in the printed text
should be clearly stated in the manuscript. eg
(Insert Table 4 here)
Every table and
figure must fit on a portrait page and allow for size reduction if needed.
Tables and
figures should be referred to in the text, eg, Table 4 shows......
Tables and figures
should have a simple and clear layout. Use of colour and excessive formatting
are strongly discouraged.
Any legend to
any table or figure should be typed immediately below and should be concise.
