Application Procedure for International Students
 

Step 1
Fax or email academic qualifications to Swinburne Sarawak (Marketing & Communications) for initial approval.
 

Step 2
Once we receive your fax or email, we will reply within 3 working days. If your application is approved, you will need to submit the formal application, that is:


Student Application Form (signed & dated at the back by student and parent/guardian)
(Requires Adobe Acrobat Reader)
 
Passport size photos 7 copies (blue background)

Certified copies of the secondary and/or tertiary academic results, i.e. certificates, academic transcripts, etc. If your copies are not in English, please include an English translation

Syllabus from college/institute of previous studies if seeking for exemptions/advance standing. Please include the English translation* if necessary.

1 set of photocopied passport (ALL PAGES including blank pages). Please ensure at least 2 years validity of your passport.

General medical report from home country (No need for blood test report but just a simple health check from your doctor).

Please take note that NO PAYMENT is required at this stage. All other fees to be paid will be notified later by Swinburne Sarawak to the applicant.

Kindly courier all the above documents to the Marketing & Communications Department. Please make sure to send these documents to Swinburne Sarawak at least 6 weeks before the commencement of the program (Note: different programs have different commencement dates. Please check with the Marketing & Communications Department).

 
Step 3
Upon receiving these documents, Swinburne Sarawak will release the acceptance package. This package, which includes the following, will be couriered to the agent:

Offer letter
Offer response and payment advice form
Course refund fee policy
Student's copy
Office copy
Accommodation booking form
Arrival services form

 
Step 4
To accept Swinburne Sarawak's offer, complete the following and return them to the Marketing & Communications Department:

Visa processing fee of RM1000.00 and International Deposit (depending on country of origin - table as attached) via the following methods:

Please inform the Marketing and Communications Department once payment has been made. A copy of transaction slip is to be provided. Official receipt will be issued on payment received.
Completed and signed Offer response and payment advice form
Completed Accommodation booking form (if applicable)
- Kindly take note that a deposit is required to book a room for both on-campus and off-campus hostel. Students are advised to submit booking fee for accommodation together with the above payment to avoid any disappointment.
Completed Arrival services form (if applicable)
- Airport pick-up is free of charge. However, students are to submit the form at least 3 working days prior to the arrival date.
Any other outstanding documents in Step 2

Step 5
Once the above is received, all required documents will be submitted to the Malaysian Immigration Department for Student Visa application. Usually this process takes 4 - 6 weeks. The student need not do anything during this time; just wait to hear from Swinburne Sarawak.

 
Step 6
Once the Student Visa is approved by the Malaysian Immigration Department, Swinburne will fax/email and courier the Student Visa Approval Letter to the student.

Should there be any problems and the visa application is rejected, a portion of payment will be refunded.
 

Step 7
The student shall then proceed to the Malaysian Embassy/Consulate stated on the visa letter to obtain a Single Entry Visa and arrange for flights to Kuching, Sarawak. Then student can submit their Arrival services form once flight details are confirmed.
 

Step 8

Once student arrives at Swinburne Sarawak, all outstanding payment is to be settled then students will be required to take a medical test at the appointed medical clinic (free of charge). Then their passport and medical report will be submitted to the Malaysian Immigration Department to endorse their Student Pass into Multiple Entry Student Pass in the passport. This process takes about 3-4 weeks.
Multiple Entry Student Pass is normally for 1 year and renewable every year at a minimal cost (depending on the country of origin of student). The university will assist student to renew their Student Pass.
Students will also be encouraged to open a local bank account to be assisted by the University.

Notes:
English translation must be certified by a registered body or notary.
IMPORTANT: US dollars prior to year 2003 is not accepted at banks or money changer.
