The position is an administrative position at the Branch Campus University in Sarawak. The position reports to the Manager, Building Facilities and is responsible for areas as designated by the Manager, Building Facilities and the Occupational Safety and Health (OSH) Committee. Currently these include:
  • Generate and promote a positive health and safety culture. This represents a key role in helping to control occupational risk;
  • Ensure all safety legislation legislations are adhered to, and policies and practices are adopted; and
  • Assist in planning, implementing, monitoring and reviewing the protective and preventative measures that the University is required or chooses to follow, and work to minimise operational losses, occupational health problems, accidents and injuries.

          This position plays a significant role in contributing to the achievement of the University’s goals by ensuring that corporate communication strategies are aligned with the overall Swinburne strategy. The position will also support the enhancement of external engagement with alumni and business and industry stakeholders.

          The position is responsible for:
          • Providing internal communication support to the Pro Vice-Chancellor and Chief Executive Officer (Sarawak) – PVC&CEO (Sarawak);
          • Providing effective corporate communication support as needed while working closely with senior leaders of the University; and
          • Assisting in engagement activities with the alumni, business and industry stakeholders.
          The position will play a key role in the ongoing development and enhancement of Swinburne’s corporate and internal communication functions through contributing a thorough understanding of communication best practices and principles.

              The position supports the business performance and its related activities of the Sarawak Campus. It is anticipated that Sarawak Campus will expand rapidly and that the responsibilities and scope of the position will grow accordingly.

              The position will provide business performance support which will include developing and implementing business intelligence (BI) and tech savvy tools for data visualisation, business analysis for strategic planning and decision-making, budget and budgetary control, costing and management reports for Management Units, management of procurement and financial operations, risk management and annual unit action plan. In addition, the position will work closely with Manager, FBA on procurement and finance digitalisation transformation. The position will undertake a variety of duties in a busy office environment, working independently whilst exercising judgement to prioritise tasks in order to meet the deadlines set.

              The position will be required to work within a culture of continuous improvement and will be supported and encouraged to identify areas where efficiency can be improved and control measures can be implemented to achieve a higher standard.

              The position requires a high level of financial, report presentation, clerical and secretarial skills including Microsoft Excel and Words, time management and good communication skills. The position is also expected to work effectively in a team environment and to interact effectively with the University staff and relevant Heads of Management Units, and to the public in providing quality customer service at all times.

                    The position is an executive position and supports the financial and business performance functions of the University. It is anticipated that Swinburne Sarawak will expand rapidly and that the responsibilities and scope of the position will grow accordingly.

                    The position will ensure proper management of procurement, financial accounting functions (including group accounts) and support the digitalisation transformation for FBA. In addition, the position will also support the business performance reporting which includes but is not limited to developing and implementing:
                    1. business intelligence (BI) and the savvy tools for data visualisation and business analysis;
                    2. unit action plan and key results areas set under Campus Plan; and
                    3. financial related policies, risk management and legal compliances.
                    The position will also undertake a variety of duties in a busy office environment, working independently whilst exercising judgement to prioritise tasks in order to meet the datelines set.

                        The position is an executive position and supports the financial accounting operations and tax functions of the University. It is anticipated that Swinburne Sarawak will expand rapidly and that the responsibilities and scope of the position will grow accordingly.

                        The position will report to the Finance Executive, Assistant Manager, and Director, Finance and Business Analysis (FBA) to undertake initiatives or projects independently besides having decent verbal and written communication skills. The position will be one of the subject-matter experts to drive the digitalisation of procurement and finance operations. In addition, the position will also be accountable for the procurement and financial accounting operations and assisting in the e-invoice, direct and indirect taxes planning, assessment and compliances. The position will undertake a variety of duties in a busy office environment, working independently whilst exercising judgement to prioritise tasks in order to meet the datelines set.

This position is well-suited to an analytical thinker who is eager to learn, can manage multiple tasks with supervision, and thrives in a fast-paced office environment.

                                            The position will assist the Manager, PPQ with duties associated with the implementation of regulations, policies, and processes related to:
                                            • Accreditation of courses delivered by Swinburne Sarawak;
                                            • Quality Management; and

                                            Working under direction from the Manager, PPQ, the Executive, PPQ will be required to:
                                            • Coordinate the administrative processes on quality management across Swinburne Sarawak in internal and external ratings as well as accreditation and reaccreditation, including coordinating the University’s submissions to MoHE and MQA;
                                            • Maintain repositories documenting accreditation-related information;
                                            • Provide support in reviewing the effectiveness and efficiency of accreditation and administrative processes across Swinburne Sarawak; and
                                            • Contribute to continuous improvement in the implementation of the Approach-Deployment-Result-Implementation (ADRI) quality management system (QMS) at Swinburne Sarawak.

                                              From time to time, the position will also carry out special projects, especially those concerning the implementation of policies and quality management initiatives, as requested by the Manager, PPQ, or Director Administration, or the Pro Vice-Chancellor and Chief Executive Officer – PVC&CEO (Sarawak).

                                              In undertaking these responsibilities, the position will:
                                              • Be required to acquire an in-depth understanding of the:
                                                • Higher Education and TAFE sectors;
                                                • Overall University governance and administrative processes;
                                                • Relevant acts and statutes, including the Private Higher Educational Institutions Act 1996 (Act 555) and its regulations;
                                              • Be expected to exhibit a highly professional approach in working closely and collaboratively with management and staff members at both the Sarawak and Melbourne campuses;
                                              • Work with a broad range of staff to ensure that a range of deliverables are met;
                                              • Work with considerable autonomy, acting with minimal supervision; and
                                              Make decisions independently, demonstrate initiative and be responsible for achieving defined strategic goals.
