 Frequently Asked Questions

How does Allocate+ work?

Allocate+ is an Internet based class allocation system for Swinburne students that allows them to indicate their preferred attendance time slots for the units of study in which they are enrolled.

Where do I find step by step instructions on how to use Allocate+?

Click here for the Allocate+ Step by Step Instructions.

Why does my password not work?

Your password may not work as you have not been issued with a Blackboard password. Alternatively, if you have any letters in your Student ID, they should be entered in upper case. I.e. 034635X.

If you are prompted with an error message "No Such User", it may mean that your enrolment records are still being processed. Try again the next day and if you are still having trouble, contact your SIC as there may be a problem with your enrolment.

I have entered my password but the screen is blank

If there is a message at the bottom of the screen saying "Document Done" in the status bar, then check the version of your Browser.

Allocate+ requires Netscape Navigator (Version 3 or higher) or MS Internet Explorer (Version 3 or higher). Both these browsers support frames. If you cannot update your browser or have access to another PC, check the times for the computer labs at the University.

What is unit of study?

Unit of study is known as subject.

How do I add/drop the units of study in my enrolment?

Enrolment records cannot be altered in Allocate+. You should submit a completed and signed Amendment to Enrolment Form to SIC before the closing date. Refer to Re-enrolment information for dateline and penalty.

Please allow approximately 24 business hours for the databases to be updated prior to attempting to access Allocate+. If the changes are still not appearing after this waiting period, please contact SIC again.

Where can I view the overall timetable for my program?

To view the overall timetable, please click here

I have enrolled in a unit of study, but it doesn't appear in Allocate+ - Why?

Allocate+ relies on information from various other databases, which is uploaded in an overnight process.

Please try again the next day. If the unit of study is still not appearing in Allocate+, please contact SIC as there may be a problem with your enrolment.

I see my enrolled units of study in Allocate+, but there are no activities showing - Why?

Some Activity groups do not have any activities associated with them. In this instance the Activity group may have special allocation requirements or not have any timetabled activities. In either case please contact SIC for advice.

What Activity Groups must I insert a preference for?

You must enter a preference for all Activity Groups within your enrolled units of study e.g. LE1, CL1, TU1, LA1, etc.

Why can't I change my class allocation?

Please note that some allocations cannot be changed as these activities must be delivered to a certain group of students in a certain manner. If you require assistance or advice with any of these units of study, please contact SIC

How often do I need to check my preferences?

It is recommended that students check their preferences at least once a week while Allocate+ is in Preference Entry mode as some teaching activities will be changed or may even be cancelled during this period.

Students are not notified of any changes to teaching activities during Preference Entry mode.

I chose my preferences for a unit of study and now they are no longer there - why?

The activity time slot that you chose no longer exists, which means that you will have to choose another one. If you cannot find a time that does not clash with your other preferences, please contact your SIC.

When does my class timetable become final?

Allocate+ will be taken off line prior to the start of the teaching period at which time the allocation within will be final. You should have, if you wish to do so, printed out your class timetable prior to this date.

Why do I see My Allocation while I am entering my preferences?

Whilst you are in Preference Entry mode the system interprets and displays the earliest time that you have selected. Any times that are displayed in the My Allocation screen while a unit of study is in preference entry mode must be ignored until the unit of study has been turned to allocation adjustment mode.

I am having trouble updating or deleting my email address, what am I doing wrong?

If you have entered your email address you must click on the Add Me link to save these details. If you have had a previous email address and have tried to delete it to leave the field blank you will find that you cannot exit the screen. To allow exiting the screen in this situation replace the field with your email address or enter nil@ then click on the Add Me link and this will allow you to proceed.

I am enrolled in a unit of study but it does not immediately show up on the screen?

Some units of study are taught in combination with another unit of study. These are known as combined modules. If you see your enrolled unit of study code underneath another unit of study code with the title Also Known As this indicates that this unit of study belongs to a combined module. Please enter your preferences for the displayed unit of study as normal.

Why do I see a message "no activities for this unit of study "?

This unit of study is delivered in a different way to the normal timetabled units of study. Please contact your SIC for the classes associated with this unit of study.

What are multipart activities?

If you see the heading "multipart activities" on your screen and input boxes with times and days this means that this delivery structure has been pre determined by your SIC. When you select multipart activities you will actually be selecting a group of classes that you must attend. The classes within these groups cannot be mixed.

Why has my allocation been unsuccessful?

An allocation may not have been successful due to a time clash with another class that you have already been allocated to, the maximum class size has already been reached, there may not be enough classes on offer or the class may have been cancelled. Please contact your SIC if you encounter this problem and you are unavailable for any other times that are being offered.
