 How to use Allocate+

Conditions of Entry

To gain access to Allocate+, a student must first be enrolled in a subject(s), and have a student ID number.

The next step is to have Internet access, either via a home/work ISP or by using the Open Access Labs that have been set aside for students access to Allocate+ around the University.

Once you have gained access to this page, you will need to enter your student ID number (username) and your Blackboard password to login to Allocate+.

 

 

How Allocate+ Works

Allocate+ operates in three stages. The first stage involves students entering their preferences for timeslots of the subjects in which they are enrolled (not first come, first served), the second stage is when student preferences are sorted and timeslots are allocated, and in the third stage students are able to make minor adjustments to their allocations, where possible (this stage is on a first come, first served basis).

 

 

Student Preference Entry Mode

A student is able to log in to the system and view the classes they must choose based on their current enrolment. When a student selects an activity group (e.g. Lecture, LE1, TU1), they are shown the available time slots for that activity group. It is essential that preferences are submitted in order of 1 to 4 for class time slots for all associated activity groups within their enrolled subject(s).

Some activities are in Teaching Groups these are called "Multipart Activities" (remove link), which means that if you select a lecture, for example, you must attend certain tutorials and/or labs. Do not worry, Allocate+ will work this out.

When selecting preferences it is important to note the percentage already indicated against a time slot. If the time slot is already 300% full then the chance of getting this allocation as first choice is small. However, percentages will change over time and it is important to review your preferences closer to the Global Sort Date (remove link).

A student may view their current allocations for all Activity Groups by clicking the "Show All" button. Please remember at this stage these are preferences only.

NOTE: The preference entry Module is NOT first come first served.

 

The Global Sort

Student preferences will be collected until the Cut Off Date (remove link). Once the cut off date has been reached, Allocate+ will be closed down for a period when the preferences will be ranked, randomized and allocated to clash free class timetable. The Allocation is based on constraints such as available resources, type of student, year level etc.

 

Allocation Adjustment

Once Allocate+ is re-opened after the Global Sort students will be able to view the result of the sorting procedure on-line.

The aim of Allocation Adjustment is to allow a student to make any minor changes to their allocations by choosing a vacant seat from any of the classes that are not full, or allocate themselves if they have not previously done so, or if the activity they have formerly chosen no longer exists.

Please note that some allocations cannot be changed as these classes must be delivered to a certain group of students in a certain manner or Student Operations administration staffs have altered your allocation. If you require assistance or advice with any of these subjects, please contact SIC.

Allocation Adjustment is a first come first served system and provides a student with an instant re-allocation. Any places you remove yourself from instantly become available to all other prospective students. If for any reason you are unable to change you re-allocation, either due to clashes or class availability, then your original allocation is retained. Clash detection is operational throughout this process.

A student may view/print all their allocations at once by clicking on the "View All" selection.

The Allocation Adjustment period will close 2 weeks after the beginning of the Teaching Period, at which time all Allocations will be regarded as final for students' class attendance timetables.

 

Closure

Allocate+ will close temporarily half way through the allocation process to allow preferences to be sorted and assigned. The system will then re-open in Allocation Adjustment mode.

At the end of the second week of the teaching period Allocate+ will then close completely to students for any further changes. Student may continue to login to the system to view their timetable (read only mode). Student is encourage to print a copy of the timetable.
