FINANCE AND BUSINESS ANALYSIS

The Finance and Business Analysis (FBA) is responsible for the financial resources of the University. The key areas of responsibilities include:
• Financial planning for both short and long terms;
• Cash flow / fund management;
• Budget and budgetary control;
• Development and implementation of internal control policies and any other suitable policies to achieve its goal and objectives;
• Business analysis for reporting and decision-making;
• Processing of payments;
• Receivables and collection;
• Purchasing and payables;
• Tenders and vendors management;
• Financial risks management;
• Maintenance of fixed assets;
• Financial reporting to Executive Group, Executive Committee, Board of Directors, University Council, and any others as necessary;
• Financial and legal compliance; and
• Coordination with relevant units within the University to support growth and strategic initiatives, and to ensure operational functions continue to be efficient and effective.

The Unit plays an important role in managing the financial resources of the University to ensure that its resources will be sufficient to support the growth.

Finance Executive

The position will ensure proper management of financial accounting functions (including group accounting) and support the digitalisation transformation for FBA. In addition, the position will also support the business performance which includes but is not limited to developing:
  1. business intelligence (BI) and the savvy tools for data visualisation and business analysis;
  2. annual budgeting process, costing and management units’ reporting;
  3. update of the unit action plan and key results areas set under Campus Plan; and
  4. financial related policies, risk management and legal compliances.
The position will also undertake a variety of duties in a busy office environment, working independently whilst exercising judgement to prioritise tasks in order to meet the datelines set.

The position will be required to work within a culture of continuous improvement and will be supported and encouraged to identify areas where efficiency can be improved and control measures can be implemented to achieve a higher standard.

The position requires a high level of financial, report presentation and analytical skills, time management as well as good communication skills. The position is also be expected to work efficiently in a team environment and interact professionally and effectively with the University staff and relevant Heads of Management Units, and to the public in providing quality customer service at all times.

The position will be one of the subject-matter experts to drive the digitalisation of finance operations. In addition, the position will also be accountable for the financial accounting operations and assisting in the direct and indirect taxes planning, assessment and compliances. The position will undertake a variety of duties in a busy office environment, working independently whilst exercising judgement to prioritise tasks in order to meet the datelines set.

The position will be required to work within a culture of continuous improvement and will be supported and encouraged to identify areas where efficiency can be improved and control measures can be implemented to achieve a higher standard.

The Information Technology (IT) is a unit within the Student and Corporate Services Division. The Unit is responsible for handling the following:-
• Governance of IT-enabled projects as well as its operational parameters.
• Plan, implement, and install IT assets (the University’s data, IT systems, network and infrastructure, as well as the software and hardware components).
• Safeguard and maintenance of IT assets by ensuring protection and the upkeep of the University’s data, IT systems, network and infrastructure, as well as the software and hardware components.

Assistant Manager – Application Development

Analyst Programmer

The position is an administrative position at the Sarawak Campus. The position will be responsible for carrying duties involving various functions of Information Technology designated by the Assistant Manager, Application Development – mainly application analysis, design, implementation and deployment of IT business systems for the University, which include requirement study, processes improvement, low-code development, User Acceptance Testing, data integrations and any other relevant tasks as assigned.

MARKETING AND STUDENT RECRUITMENT

The Marketing and Student Recruitment (MSR) Unit is led by the Director, MSR. The Unit comprises the
following:
• Admissions and Analytics
• Branding and Events
• Communications
• Student Recruitment – Sarawak
• Student Recruitment – Emerging Regions

The Unit plays a vital role in ensuring the growth objectives of the University in terms of new student numbers. It is the primary unit in the University responsible for student recruitment and external communications.

The Unit is responsible for promotion of the University and its activities generally to the public, potential students, industry and government. It is responsible for the development and implementation of marketing and promotion strategies and plans, designed to achieve agreed corporate objectives. These include ensuring that all target markets (national and international; potential, existing and previous students; employers; industry and business; governments and stakeholders; schools and key influencers and staff) are aware of Swinburne’s features and strengths and are encouraged to take advantage of what Swinburne offers.

The Unit also develops and manages the Swinburne brand; manages and implements corporate communications strategies including developing promotional tools, web-based communications, e-marketing strategies, implements corporate communication activities of the University as a whole in order to build market awareness and maintain a positive, credible and exciting market image as well as an employer.

Assistant Manager – Communications and Digital Marketing [fixed-term contract]

The Assistant Manager, Communications and Digital Marketing is responsible for achieving the set targets and Key Performance Indicators (KPIs) of the unit. The position will work closely with the Manager, Marketing and student recruitment team to assist in the acquisition target for the pre-university and degree qualifications portfolio.

The position is responsible for assisting the Manager, Marketing to develop and implement strategies and tactics which build awareness and preference for Swinburne in domestic and international markets for the purpose of student recruitment.

This is a role that works across the whole University to provide a consistent, cohesive and strategic approach to marketing communications strategies of the University. Areas of responsibilities are inclusive of Marketing Communications, Public Relations, Publication and Content Development across domestic and international markets. These include working with Manager, Marketing to devise marketing plan with direct accountability for a sizeable budget, analysing and measuring the effectiveness of lead generation campaigns.

The position will support the Manager, Marketing to manage Swinburne Sarawak’s public relations and communication plan, offline and digital strategies and the annual budget for the unit to deliver integrated campaigns which are cohesive, impactful and with a focus on student recruitment and brand health. The position works closely with academic and administrative staff at Swinburne Sarawak, as well as liaises with colleagues at Swinburne Australia to ensure consistency in branding, marketing and the efficient use of global resources.

As Swinburne Sarawak is expanding rapidly, the scope of responsibilities of the position is expected to grow accordingly.

Executive, Digital Marketing

The University desires to expand the use of digital marketing for the primary purpose of student recruitment through search, content, social media and all other digital platforms to increase lead generation and management with an ultimate aim of conversion through enrolment.

The University aims to maintain a very high profile in its target markets through advertising the Swinburne brand to grow awareness, preference and recommendation. This position will lead the performance marketing and website management needs of the University. It is anticipated that Swinburne Sarawak will expand rapidly and that the responsibilities and scope of the position will grow accordingly.

This position is responsible for all digital marketing activities for the University with a key focus on digital lead generation and management, website management and the customer relationship management platform (CRM). This includes:
  • providing a ‘whole of university’ approach to developing a digital marketing strategy;
  • employing “growth-hacking” marketing strategies to increase return-on-marketing-investment;
  • exploring new and innovative ways of increasing quality leads for the Student Recruitment team; and
  • managing and analysing data in the CRM to make decisions about lead generation campaigns.
The position works closely with academic and administrative staff at Swinburne Sarawak and liaises with staff at other Swinburne campuses to ensure consistency in corporate style and efficient use of resources.

Officer, Market Intelligence

This position is attached to the Marketing and Student Recruitment Unit at the Sarawak Campus. The responsibilities of this position include:
  • Conducting research on market trends, target demographics, and competing brands;
  • Designing and implementing market and consumer surveys;
  • Gathering, analysing, and interpreting marketing and admissions data;
  • Preparing detailed reports on future student behavior, competitors’ activities, outcomes, and recruitment;
  • Forecasting future market, consumer, and recruitment trends;
  • Monitoring the efficacy of marketing trends through analytical tools and software; and
  • Keeping abreast of the latest advancements in technology, market trends, and consumer behavior.
It is anticipated that Swinburne Sarawak will expand rapidly and that the responsibilities and scope of the position will grow accordingly.

The position is responsible for marketing the University and its products and services in Malaysia and/or international markets. This involves contributing to:
  • coordinating external University events to support both branding and recruitment purposes;
  • executing marketing and student recruitment plans to increase national and international enrolment into the University;
  • supporting the development and management of relationships with a range of stakeholders including agents and school officials in emerging regions to attract international students;
  • providing relevant advice to students on courses and other matters related to studying at Swinburne Sarawak and/or Swinburne Melbourne;

      Consultancy Project Executive [fixed-term contract]

      The responsibilities of this position include general administration of any internal and external research grants in the University, although the main priority focuses on Research Consultancy Projects. The administrative duties include project planning support, documentation management, schedule coordination, risk and issue tracking, stakeholder engagement, resource management, the communication and provision of grant related information to researchers, and the handling of all grant administration processes. This includes but is not limited to, processing of claims, management and entry of data, maintenance of filing systems as well as some analytical tasks. The position is expected to help the School of Research implement and improve new processes and guidelines related to research grants and research consultancy projects.

      In undertaking these responsibilities, the appointee is expected to exhibit a highly professional approach in working closely and collaboratively with management and staff members at both the Sarawak and Melbourne campuses as well as with parties (private and government) external to the University.

      The Administrative Officer in the Director Administration Office plays a significant role in providing effective support to the Director Administration to achieve the goals of the Student and Corporate Services Unit.
      The position supports the Director Administration Office, working closely to:

      • provide administrative support to the Director Administration and overall office;
      • communicate internally and externally, and prepare reports and other documents when required;
      • execute and/or manage projects undertaken by the Director Administration Office, including monitoring and follow-through;
      • provide executive support to a wide range of governance meetings; and
      • liaise with and contribute to building relations with the Government and other bodies.
